Partner Activation Coordinator

Women Leaders in Sports is seeking a highly organized, detail-obsessed Partner Activation Coordinator to ensure our partners receive exceptional service, flawless execution, and timely delivery of all commitments. This role is the operational engine behind our partnership strategy—tracking every deliverable, deadline, asset, approval, and activation with rigor and precision.

The ideal candidate is energized by checklists, timelines, and systems. They thrive on tracking hundreds of moving pieces, spotting gaps before they happen, and keeping cross-functional teams aligned. This person loves order, process, documentation, and delivering a seamless partner experience from onboarding through activation.

Key Responsibilities:

Partner Activation & Relationship Support

  • Serve as the day-to-day point of contact for assigned partners.
  • Track and manage partner deliverable—timelines, assets, approvals, reminders, and follow-ups—with exceptional accuracy.
  • Assist in creating and updating partnership pitch decks, contracts, activation calendars, recaps, and one-sheets.
  • Maintain detailed partner activation trackers, updating milestones, dependencies, and progress daily.
  • Support partner relationship growth by anticipating needs and ensuring partners always know the status of their activation.

Campaign, Deliverable & Asset Coordination

  • Manage the full workflow of creative assets: collection, organization, review, approval, and delivery.
  • Ensure all partner-facing materials are on-brand, and aligned with contracted deliverables.
  • Track concurrent campaigns with precision, ensuring deadlines are never missed.
  • Document every action step, edit, and approval to maintain activation records.

Cross‑Functional Coordination

  • Act as the central hub between Marketing, Creative, Events, Membership, and Operations.
  • Prepare agendas, notes, and next steps for internal planning meetings.
  • Maintain organizational systems (trackers, dashboards, shared folders, timelines).

Performance Tracking & Reporting Support

  • Gather performance metrics and support the development of partner reports.
  • Track activation results, engagement data, and feedback.
  • Maintain meticulous logs of campaign activities and insights.

Experience and Desired Qualifications:

  • 1–3 years of experiencein partnership activation, marketing coordination, project management, events, communications, or a similar operational role.
  • Exceptional attention to detail—someone who catches small errors, notices gaps, and takes pride in accuracy.
  • Highly organized and process-driven, with a genuine love for checklists, tracking systems, documentation, and order.
  • Strong project management skills, including juggling multiple timelines and managing numerous deliverables at once.
  • Strong communicator, equally skilled in writing, speaking, and listening.
  • Comfort with complex tracking tools(e.g., spreadsheets, project management platforms, shared drives) and the discipline to update them consistently.
  • Strong communicatorwho excels at keeping partners and internal teams informed, aligned, and on task.
  • Demonstrated success operating independently as well as be part of a team, and ability to balance multiple priorities.

Compensation: Commensurate with experience; benefits package including medical, dental, and vision insurance. 401k with employer match.
